Vendor needs to provide physical documents digitization services
• Approximately 469,000 standards, 8.5” by 11” one-sided papers – These are backed up on several hundred microfilm reels which could alternatively be used for the digitization
o These would need to be scanned and saved as TIFF, converted to 72 dpi JPG and additionally be converted via OCR and saved as PDF. All files should be transferred to the Houston Public Library
o Also, these should be browsable by county
• Approximately 17,000 uniquely-sized one-sided papers – Varying in width from 2” to one foot wide and in length from 2 feet to 14 feet long.
o These need to be scanned as TIFF and converted to JPG with the log sticker number in the name of the file. All files should be transferred to the Houston Public Library
• Files should be on an external hard disk or flash drive along with an FTP electronic transfer available
• Account for all aspects of document scanning, including transport or travel
• Store documents in a way that will not damage them
• Dispose of physical documents after scanning quality has been approved by Houston Public Library • Customer support available to troubleshoot issues with the service
• Proven ability to meet customer needs
• Have ability to register as a vendor with the City of Houston
• Ability to start service September 1, 2020
