[B] Scope of Service:

Vendor needs to provide full-service database management and email marketing system that allows for automated workflows and emails triggered by events, behaviours and/or dates; A/B testing capabilities of subject lines and body copy; the ability to send variable content to segmented audiences; and a user-friendly interface. Also required is the capability to offer full-service account management, strategy, campaign execution and account support
- consumer email campaigns consist of roughly 150,000 contacts, with at least one send per month to the entire database, and occasional sends to segmented audiences derived from those same contacts, maintains a portion of new subscribers' email addresses and details are managed in a proprietary CRM, iDSS Cyclone, In addition, there is an existing database of newsletter subscribers maintained,
- to pursue actions such as requesting or downloading a free visitor guide, following social channels, and clicking through on owned email content to read stories and browse the website,
- Further, through partnerships with compliant tracking software, uses pixels on its website and click-thru data to identify which pieces of content convert to hotel and/or flight bookings,
- Account Management:
- Full-service support, including, but not limited to, a dedicated account manager, implementation and marketing automation services, data analysis, reporting, migration of existing databases into the platform, and ongoing maintenance of new and current subscribers.
- Strategy sessions with cross-divisional teams to ensure system set up and integration of all existing programs/data,
- Option and ability to transition to a hybrid support model where can assume certain executions, such as creating and running particular email campaigns through an intuitive interface, as necessary,
- Audience Creation & Management:
- Efficient importing and exporting of lists either via a .CSV file or a custom API that integrates with the CMS built on Craft,
- Check for duplication among existing lists when contacts are imported and allow for the end user to merge or delete
duplicates.
- Segment audiences by self-reported interests and demographics (geographic, age, etc.)
- Easy-to-use graphical interface that permits the creation of automated workflows with the option to use both behavioral and date-based triggers.
- Unlimited segmented audience lists.
- Audience cloning and editing capabilities to streamline new audience creation.
- Customizable web-based pages for users to manage subscription preferences. AOT must be able to edit the messaging on these pages,
- Data Management and Analysis:
- Analyze and optimize owned and acquired data.
- Ability to append data for normalization, standardization, missing data, and to increase the accuracy of data (using services such as Acxiom, Experian, etc.).
- Track content and transactional data and provide regular recommendations and inform strategy,
- Delivery Creation & Management:
- Drag & drop editor with real-time visual preview.
- Flexible templates with customization options and HTML-coding capabilities, as well as the ability to upload templates and designs,
- Unlimited number of subject and creative draft versions.
- Visualization of emails on mobile and desktop systems and various email providers.
- Omnichannel connectivity to programmatic advertising,
- Reporting and Deliverability/Regulations Compliance:
- User-friendly dashboard with metrics including, at minimum, open rate, click-thru rates, CTOR, unsubscribe ratio, and link-level opens.
- Create custom reports that can be exported manually or on a regular schedule.
- Intelligent mail-deployment agent to manage delivery to recipient ISPs.
- Optimizes deliverability and inbox acceptance,
- Platform Maintenance and Support:
- Dedicated account manager
- 24-hour prior notice of any platform updates and maintenance that would result in downtime or late delivery.
- Ongoing customer support and training resources with after-hours and weekend live support available as needed.
- Initial onboarding process with live training and assistance with migration of contacts, as needed.
- Additional support with campaign content and strategy.
- Ability to scale platform and plans in the event of a large increase in subscribers.
