[B] Scope of Service:

Vendor needs to provide event planner service.
- Develop a final event budget
- Organize facilities including booking event venue space
- Provide on-site logistical support at the event
- Prepare print and promotional material, with the support of the city’s graphic designer as needed, which adheres to brand standards. Materials may include program, registration info package, tiered sponsorship package, and tradeshow info
- Provide sponsorship and tradeshow recruitment, collects sponsor logos, and coordinate speaking opportunities while meeting sponsorship targets and promoting event.
- Collect presentations, develop “event playbook”, and provide completed “playbook” to AV contractor, graphic designer and Host prior to event
- contribute to event agenda creation; source entertainment and keynote speaker; execute and manage successful networking receptions and banquet; provide final event post-mortem report
- Work with venues to create menus; accommodate for allergies and special dietary needs; oversee executive hospitality suite via booking of space and drink or snack provision.

Performance of the work will be Offsite. Vendor needs to carry work in their office location.
