[*] Scope of Service:

(1) Vendor needs to provide transcription service to transcribe confidential audio files into text.
A. Several methods by which the contractor can accept audio files from the city.
a. Web based and FTP transfer process:
i. Digital Audio File (.wav, .wma, .mp3, .dss).
ii. mail In digital audio files.
iii. Cassette or micro-cassette tapes.
iv. Audio CDs, DVDs, VHS tapes.
D. 128-bit SSL Data Encryption.
E. No minimum user requirements.
F. No special equipment needed, vendor must have access to necessary equipment to provide complete transcription services as required.
G. Services are on an as needed basis. In additional, deliverable deadlines shall be agreed upon by The city and the vendor prior to order placement.
H. Pay as you work is completed.
I. 3-5 day turn-around time with the ability to turn around in one day for exigent circumstances.
J. Able to transcribe single speaker, multi-speaker and foreign language translations.
K. Accuracy of finished product. The vendor shall have an established system for quality assurance and quality control to ensure accuracy of dictations and transcriptions and required reports.
L. Certified transcripts if needed.
M. Employees who have been screened through a background process.
N. Confidentiality of audio files provided for transcription.
O. Customer support including emergency contact methods.
P. Chain of custody tracking.
Q. Ability to transcribe 10 to 30 hours of audio per month.
R. Data security compliance with minimum federal regulations.
(2) All question must be submitted no later than June 15, 2023.
